Terms & conditions

  1. 1. Introduction

    • Organizer: Stichting Gamemaster Events (GME), a registered charitable organization under the laws of the Netherlands.

    • Event(s): Activities organized by the Charity, which may include milsim, tacsim, LARP events (collectively “the Event”).

    • Purpose: To host (thematic) events with a focus on immersion for, but not exclusively, airsoft.

  2. 2. Acceptance of Terms

    By registering for, purchasing a ticket to, or otherwise participating in the Event, you (“Participant”) acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions, the Safety Rules (Section 5), and any additional notices posted on the Event website or venue.

    3. Eligibility

    • Participants must be at least 18 years old.

    • Participants must provide a valid government‑issued photo ID and proof of residence (if required).

    • Participants must not be under the influence of alcohol, drugs, or any medication that could impair judgment or physical coordination.

    • The Charity reserves the right to deny entry to anyone who fails to meet eligibility criteria or who exhibits unsafe behavior.

  3. 4. Registration & Payment

    • Registration is completed via gamemasterevents.eu and is confirmed only after payment is received.

    • If canceled by the participant or GME (see Section 9).

    • The Charity may require a security deposit or hold on a credit card to cover equipment damage or loss.

  4. 5. Safety Rules (Non‑Negotiable)

    1. Protective Gear – Eye protection will meet or exceed EN166-F, ANSI z87.1, STANAG 2920 v50 or the 40296 norm, face mask, hearing protection, and appropriate clothing (long sleeves/pants) are mandatory at all times.

    2. Weapon Limits – Only airsoft guns meeting the Charity’s power‑limit specifications (e.g., ≤ 1.5 J) may be used. Modifications that increase velocity are prohibited.

      1. Lasers may only be used under restrictions of the local laws where the event takes place.

    3. Engagement Zones – Participants must stay within designated play areas and respect “safe zones” (e.g., medical tents, spectator areas).

    4. Code of Conduct – No aggressive language, harassment, or unsportsmanlike conduct. Violations may result in immediate removal without refund.

    5. Medical Clearance – Participants with pre‑existing medical conditions affecting vision, hearing, or mobility should consult a physician before attending.

    6. Generators or open fire – A fire extinguisher must always be in close proximity of a generator or open fire and readily available. For generators, fuel must be stored in closed containers.

    7. Drones – GME will monitor local law and/or regulations to communicate if drones are allowed.

    6. Liability & Waiver

    • Participation is voluntary and at your own risk. By signing the waiver, you acknowledge that:

      • The Charity, its staff, volunteers, and sponsors are not liable for personal injury, death, property damage, or loss of equipment, except where prohibited by law.

      • You assume all risks associated with airsoft activities, including but not limited to projectile impact, falls, and equipment malfunction.

    • Participants must sign a Release of Liability and Indemnity Agreement (attached as Exhibit A) before entering the venue.

    • In the event of negligence on the part of the Charity (e.g., failure to provide reasonable safety measures), the Charity’s liability is limited to the amount paid for the Event ticket.

  6. 7. Media & Publicity

    • The Charity may photograph, video, or livestream the Event for promotional purposes. By attending, you grant a worldwide, royalty‑free license to use any images or recordings that include you, unless you opt out in writing prior to the Event.

    • Participants may not record or broadcast the Event without prior written permission from the Charity.

  7. 8. Data Protection & Privacy

    • Personal data collected during registration (name, contact details, payment information) will be processed in accordance with the Charity’s privacy policy and applicable data‑protection legislation (e.g., GDPR, CCPA).

    • Data will be used solely for Event administration, communication, and post‑event follow‑up. It will not be sold to third parties.

  8. 9. Cancellation & Force Majeure

    • Charity‑initiated cancellation – If the Charity cancels the Event due to weather, venue issues, or other force‑majeure circumstances, participants will receive a full refund or the option to transfer registration to a future Event.

    • Participant‑initiated cancellation – Refunds are not provided for participant‑initiated cancellations, except where required by law.

    • The Charity reserves the right to postpone the Event and notify participants via the contact information provided at registration.

  9. 10. Governing Law & Dispute Resolution

    • These Terms are governed by the laws of [Jurisdiction] (e.g., England & Wales, California).

    • Any dispute arising from participation shall be resolved through good‑faith negotiation. If unresolved, the parties agree to submit to binding arbitration in [City], under the rules of [Arbitration Institution], rather than pursuing litigation.

  10. 11. Amendments

    The Charity may amend these Terms at any time. Revised Terms will be posted on the Event website and emailed to registered participants at least [Number] days before the Event. Continued participation after such notice constitutes acceptance of the updated Terms.
